Job Description

We are seeking an energetic and highly organized Events Assistant with a proven track record of coordinating and supporting events in a fast-paced environment. This role requires an adaptable, detail-oriented professional who can manage multiple tasks, work cross-functionally, and deliver results under deadlines.

Key Responsibilities:

  • Coordinate and manage conference room bookings for both internal teams and external vendors.
  • Schedule, plan, and monitor special events, ensuring smooth execution from start to finish.
  • Provide on-site administrative support, including managing event logistics, maintaining timelines, and troubleshooting as needed.
  • Assist with budget tracking, procurement documentation, and recordkeeping for event-related expenses.
  • Collaborate closely with finance teams to ensure all documentation, receipts, and reports are accurate and up to date.
  • Serve as the primary point of contact for executives, vendors, and partners regarding event coordination, planning, and problem resolution.
  • Provide high-quality support to visitors, including greeting attendees, issuing access cards, and ensuring all event entry processes are seamless.
  • Oversee event communications, including distributing invitations, managing RSVPs, and providing necessary follow-up.
  • Manage and maintain records, ensuring compliance with organizational procedures.
  • Monitor and coordinate building access for event attendees, vendors, and staff.
  • Assist with event-related reporting, data tracking, and quality assurance.

Qualifications:

  • Must be a U.S. Citizen and willing to participate in a federal background investigation and drug test.
  • Demonstrated experience in event planning, coordination, or administration.
  • Proficiency in Microsoft Office and Google Suite products.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to multitask, prioritize competing demands, and problem-solve efficiently.
  • A proactive team player who is adaptable and eager to step in wherever needed.
  • Experience working with executives, vendors, or cross-functional teams is a plus.
