Overview of the Role:

Join our client as an Accounts Payable & Receivable Specialist & Admin Coordinator, where you'll be pivotal in supporting finance, operations, and administrative activities. Perfect for those eager to multitask, this role is ideal if you're experienced with data entry and accounting systems and skilled in communication. You’ll be ensuring the smooth operation of day-to-day tasks while contributing to the organization’s success.

 

Responsibilities:

  • Manage invoicing and collections for accounts, ensuring accuracy and timeliness.
  • Enter and maintain data in QuickBooks for precise account handling.
  • Maintain and update the Certificate of Insurance (COI) database for customers.
  • Organize and file sales tax certificates for streamlined processes.
  • Process vendor invoices and ensure proper filing and QuickBooks entry.
  • Review and approve invoices from labor contractors for accuracy and compliance.
  • Assist with contractor recruitment activities and maintain recruitment systems.
  • Perform data entry in Salesforce, Encore, and other internal systems.
  • Manage postage machine operations and ensure smooth mail handling.
  • Cover phone responsibilities as a backup receptionist for seamless communication.

 

Requirements:

  • Proficiency in QuickBooks and data entry systems.
  • Strong organizational skills and the ability to multitask effectively.
  • Familiarity with Salesforce and Encore systems is a plus.
  • Excellent communication skills and attention to detail.
  • Experience in billing, collections, and administrative tasks preferred.
